Bento vs Intercom in depth
Bento and Intercom overlap in customer data, targeted email, automation, and live chat, but they are built around different primary jobs. Intercom is an AI-first customer service platform with Messenger, shared inboxes, tickets, help centers, and agent workflows at its core. Bento is an email marketing and CRM platform that connects broadcasts, lifecycle automation, transactional email, customer events, and deliverability tools. Bento Chat adds shared inbox and live chat when a marketing team needs those conversations.
Choose Intercom when customer service operations are the main system you are buying and your team needs ticket categories, support routing, a customer-facing Messenger, help center tools, or Fin inside the same workspace. Choose Bento when the main job is marketing and product email driven by customer behavior, with chat as a supporting channel. This comparison treats Intercom's service depth as a real advantage rather than pretending the products are interchangeable.
Start with the team that will run the platform
Intercom is the stronger fit for a support organization that works from conversations all day. Its current pricing page lists Messenger, a shared inbox, ticketing, reports, and a public help center in Essential. Advanced adds multiple team inboxes, the Workflows automation builder, round robin assignment, and private or multilingual help centers. Expert adds controls such as service level agreements, identity management, and multibrand Messenger and Help Center support.
That support stack matters when the operating problem is triage, assignment, escalation, and resolution across agents. Intercom also prices Fin by outcome and connects the AI agent to its service workflow. A buyer who needs those functions would lose important capabilities by replacing Intercom with a marketing platform and a basic chat inbox.
Bento fits a different owner. A lifecycle marketer can use marketing automation, customer events, segments, broadcasts, and transactional messages from one customer record. The $30 per month Bento Chat add-on adds shared inboxes, live chat, SMS conversations, routing, saved replies, assignments, and AI agents for Marketing Platform customers. It does not turn Bento into a like-for-like Intercom help desk.
- Choose Intercom when support tickets, agent routing, and help center operations drive the decision.
- Choose Bento when lifecycle email and customer data are the main workload.
- Treat Bento Chat as an optional conversation layer, not a full Intercom replacement.
Pricing uses different meters
Intercom says its pricing combines paid full seats with usage charges. The core plans are Essential, Advanced, and Expert. Fin costs $0.99 per outcome, while bulk email campaigns, SMS, WhatsApp, and phone carry usage charges. Intercom's page also lists optional add-ons. Proactive Support Plus costs $99 per month, includes 500 messages sent, and unlocks features such as Product Tours, Surveys, Posts, and the Series campaign builder.
Bento's official pricing source uses Active Users for Marketing Platform. It costs $29 per month for up to 5,000 Active Users. Usage above 5,000 starts at $0.01 per additional Active User per month and steps down at higher volumes. Paid Marketing Platform plans include unlimited marketing sends subject to fair-use and anti-abuse review. An Active User is a subscribed person or someone with an event in the last 90 days.
Bento Chat is a $30 per month add-on for Marketing Platform customers. Bento Transactional Email can be bought separately, with the first 100 emails free, $5 per month through 12,500 emails, then $0.09 per 1,000 emails. Use the /pricing calculator with your actual Active Users. Compare that result with Intercom's full seats, Fin outcomes, channel volume, and required add-ons. A fixed savings percentage would hide the variables that determine the bill.
- Intercom combines plan seats, usage charges, and optional add-ons.
- Bento Marketing Platform combines a base price with tiered Active User usage.
- Model the workload instead of assuming one vendor is always cheaper.
Automation starts from a different context
Intercom has substantial automation. Workflows help support teams route and handle conversations. Its Series documentation describes multi-step campaigns that can combine chats, posts, emails, Product Tours, mobile carousels, push messages, bots, and banners. Entry rules and internal rule blocks can use customer data to decide what happens next. Series is currently part of the Proactive Support Plus add-on.
This is useful when automation needs to cross support and in-product channels. A team can guide onboarding, follow a customer action with an in-app message, or change the path based on message engagement. Intercom is the better fit when those Messenger and product guidance channels are essential and the team wants them tied to its support workspace.
Bento's workflows are centered on people, events, fields, tags, segments, email, and connected customer data. That model suits onboarding, trial conversion, purchase follow-up, retention, and re-engagement programs that depend on product or commerce activity. Before comparing builders, write down each trigger, branch, channel, delay, and destination. The right product is the one that represents those inputs without recurring manual work.
- Intercom connects support workflows with in-product and outbound channels.
- Bento connects lifecycle email with product, CRM, and commerce events.
- Check plan and add-on access for every required Intercom channel.
Intercom goes deeper on help desk operations
Intercom's ticket setup guide documents Customer, Back-office, and Tracker ticket categories. Teammates can convert conversations into tickets, create tickets for customers, route ticket types with Workflows, and organize work in team inboxes. Customers can receive status updates and open their tickets from a dedicated space in Messenger.
Those are not cosmetic extras. Ticket categories, custom states, support reporting, service level agreements, and help center controls shape how a service team handles unresolved work. Bento Chat covers shared conversations, assignment, routing, replies, and customer context, but Bento does not currently offer the same ticketing and help center system. A support-led organization should keep Intercom or budget for another help desk.
The tradeoff can favor Bento when support is light and the business mainly needs email marketing plus a shared place for customer conversations. In that case, a separate full service platform may create more seats, settings, and data handoffs than the team needs. Review Bento's messaging product against the exact Intercom inbox and ticket workflows your agents use before deciding.
- Inventory ticket types, states, inboxes, routing rules, SLAs, and help center content.
- Keep Intercom when those service workflows are core business infrastructure.
- Use Bento Chat when a shared inbox and live chat meet the actual support requirement.
Email operations need a practical comparison
Intercom supports targeted outbound email and Series messages, while its current pricing treats bulk campaign email as a usage-based channel. That packaging can make sense when email supports an existing Intercom service operation. Bento's paid Marketing Platform includes unlimited marketing sends under fair-use and anti-abuse review, which can be easier to forecast for a team that sends frequent campaigns to an active audience.
Neither pricing model proves better inbox placement. Authentication, consent, complaint rates, content, list quality, sending patterns, and domain reputation still affect delivery. Bento includes authentication setup, reputation monitoring, batching controls, bounce handling, and suppression tools. Evaluate those deliverability tools against the controls and support process your team uses in Intercom. Test representative campaigns on authenticated domains before moving normal volume.
Data ownership also changes the workflow. Intercom customer records sit beside conversations, tickets, and outbound messages. Bento customer records sit beside marketing events, segments, broadcasts, flows, and transactional messages. List every system that sends attributes or events, every webhook that consumes updates, and every report used by the business. The migration only simplifies operations if those connections have a clear owner after the move.
- Compare total campaign volume and audience activity, not only entry prices.
- Test sending behavior with your own domains and representative recipients.
- Map APIs, webhooks, attributes, events, suppressions, and reporting before cutover.
Migration separates exports from rebuilds
Intercom's contact export guide supports CSV exports for selected users, leads, or companies. You can export displayed columns or all available columns. The user export includes only the name and ID of the most recent company tracked for that user, so company data may need its own export and mapping. Intercom emails the CSV download link, and the link expires after one hour.
A contact CSV does not reproduce the operating system around it. Document Series entry and exit rules, Workflows, ticket types, inbox routing, help center content, Messenger settings, Product Tours, templates, custom attributes, webhooks, and reports. Rebuild a small set of important lifecycle journeys first. Keep Intercom active until Bento imports, authentication, segments, messages, automations, chat routing, and suppression behavior have been checked with real test records.
Use the Intercom migration guide as the working checklist, then adjust it to your workspace. Choose Intercom when service operations and in-product support channels are the center of the customer experience. Choose Bento when lifecycle and transactional email need the shared customer context, and a lighter conversation layer is enough. Teams comparing customer messaging platforms can also review Bento vs Customer.io.
- Export contacts and companies separately when the relationship data matters.
- Rebuild automations, ticket workflows, and templates instead of assuming they transfer.
- Move in stages so critical support and email paths keep a rollback option.
