Email Distribution Lists: Build Segmented Lists That Actually Deliver

Email distribution lists or “lists” for short are an old-school way of managing CRMs. Lists are still offered as a feature by email marketing software but they are mostly redundant. These days the same function is carried out by tags and segments.

Lists are sometimes still used to segment subscribers into different buckets like:

  • Marketing communications
  • Product updates
  • Announcements and special offers
  • ...And so on

But again, tags would work just as well here.

Bento allows you to create lists as a lightweight way for subscribers to opt-in and out of different types of emails via tags. Subscribers can manage the lists they're subscribed to via their contact profile page.

Another way to use lists, and this is the only reason why we'd use them over tags and segments, is to manage more than one CRM from the same email marketing account.

For example, you may have several business units but you don't want to manage several email marketing software subscriptions. In this case you'd have one list per business unit. For this to work properly, your email marketing software must allow more than one custom sending domain.

Using lists this way is not necessary with Bento, because we allow you to manage unlimited websites from one account. Each site is it's own CRM, with all the different email marketing assets (templates, flows, sequences, etc.) held separately.

Ultimately lists serve more as a way to organize your CRM for internal use. For example, some email marketing software will only allow you to export lists to a csv file, or import a set of contacts into a list.

For the rest of this article, unless specified, we use the word “list” and “segment” interchangeably.

Common Mistakes to Avoid

The "bigger is better" myth

Everyone wants a huge email list -more contacts means more sales, right? Wrong. A list of 10,000 engaged subscribers beats 100,000 dead emails every time.

Big lists cost more to maintain. Not only they hurt your sender reputation they dilute your metrics. Focus on quality and prune regularly. Your smaller, cleaner list will make more money.

GDPR, CAN-SPAM, CASL. These aren't suggestions. They're laws with real penalties. Store consent records for every contact. Include unsubscribe links in every email. Honor opt-outs immediately.

Compliance isn't just about avoiding fines. It builds trust. People who explicitly opt in engage better. They complain less. They buy more. Do it right from the start.

Over-segmenting into tiny groups

Yes, segmentation improves performance. No, you don't need 500 micro-segments of 20 people each. Over-segmentation creates management nightmares and rarely improves results enough to justify the complexity.

Start with 5-10 core segments, and then test and refine those before adding more. Most businesses do fine with lifecycle stage, engagement level, and one or two behavioral segments. Keep it simple until you have data proving you need more complexity.

Neglecting re-engagement campaigns

Dead subscribers don't suddenly wake up on their own. You need deliberate re-engagement campaigns to revive them or remove them.

Send a "we miss you" campaign to anyone who hasn't opened in 60 days. Offer something valuable: a discount, exclusive content, early access to new features. If they don't respond after 2-3 attempts, remove them. They're hurting your reputation more than helping your business.

Measuring List Health

Key metrics to track

List growth rate - New subscribers minus unsubscribes and bounces. Healthy lists grow 2-5% monthly. Negative growth means you have problems.

Engagement rate - Percentage of your list that opened or clicked in the last 30 days. Should be above 20%. Below 10%? Your list needs serious cleaning.

Bounce rate - Hard bounces should stay under 2%. Higher means your data is stale or you're collecting bad addresses.

Complaint rate - Keep it under 0.1%. One complaint per thousand sends is the absolute maximum before ISPs start blocking you.
